Are you an organised, approachable and professional administrator who enjoys helping people and making sure everything runs smoothly?

We are looking for a friendly, proactive and highly organised Administrator / Receptionist to join our team at Aurora Mansfield School and R.E.A.L. Alternative Provision. This is a varied and rewarding role where you will play an important part in supporting the day-to-day running of the school, providing a welcoming first point of contact for students, families, visitors and colleagues.

Working closely with school leaders, teaching and support teams, families and external professionals, you will help ensure that administrative systems, records and communication are managed efficiently, accurately and confidentially. You will be an important part of creating a positive, safe and inclusive environment where students feel welcomed, supported and able to achieve their full potential.

The Role

As our Administrator / Receptionist, you will provide a professional, responsive and welcoming reception and administrative service, supporting a broad range of school activities and processes.

Your responsibilities will include:

  • Acting as the first point of contact for visitors, parents, carers, students, colleagues and external professionals, providing a friendly and professional welcome.
  • Managing telephone enquiries, taking messages, responding to queries and directing enquiries to the appropriate colleagues.
  • Managing visitor sign-in and sign-out procedures and ensuring reception and public-facing areas are safe, organised and presentable.
  • Providing general administrative support to school leaders, teaching colleagues and support teams.
  • Producing letters, reports, presentations, meeting documents and other correspondence accurately and within required timescales.
  • Managing diaries, appointments, meetings and room bookings where required.
  • Coordinating incoming and outgoing post, email communication and general office administration.
  • Maintaining accurate and up-to-date electronic and paper filing systems, databases and school management information systems.
  • Supporting the administration of student attendance, admissions, transitions, examinations, reviews and other key school functions.
  • Assisting with the administration of Education, Health and Care Plan (EHCP) reviews and associated documentation.
  • Preparing and organising information and documentation for meetings, audits, inspections and compliance activities.
  • Supporting the administration and recording of student medication, health information and first aid processes, in line with school procedures and relevant training.
  • Maintaining accurate student, staffing and operational records, ensuring information is handled securely and confidentially.
  • Supporting communication with local authorities, commissioners and other external agencies as required.
  • Supporting school events, meetings, training activities and educational visits.
  • Identifying opportunities to improve administrative processes, systems and service delivery.
  • Providing flexible administrative support to colleagues and other school functions when required.

What We're Looking For

We are looking for someone who combines excellent organisational skills and attention to detail with a warm, welcoming and helpful approach.

You will ideally have:

  • GCSE English and Mathematics at Grade 4/C or above, or an equivalent qualification.
  • Previous administrative experience, ideally within an education, care or customer-focused environment.
  • Excellent written and verbal communication skills.
  • Strong organisational skills, with the ability to manage competing priorities and meet deadlines.
  • Good IT skills and confidence using Microsoft Office applications, including Word, Excel, Outlook and PowerPoint.
  • Experience of using databases, management information systems or other digital record-keeping systems.
  • An understanding of confidentiality, data protection and information security requirements.
  • An awareness of safeguarding responsibilities and the importance of maintaining professional boundaries.
  • The ability to build positive and professional relationships with a wide range of people.
  • Excellent attention to detail and a consistent commitment to accuracy.
  • The ability to work independently and collaboratively as part of a team.
  • A calm, flexible, patient and solution-focused approach, including when responding to unexpected situations.
  • The ability to provide an efficient, professional and welcoming service in a busy school environment.
  • A commitment to equality, diversity and inclusion and to promoting positive outcomes for all students.

Experience of supporting students with SEND and/or medical administration processes would be advantageous. A first aid qualification and experience of medication administration would also be desirable, although training will be provided where required.

You will need to be committed to safeguarding and promoting the welfare of children and young adults, maintaining confidentiality and following organisational procedures. A willingness to undertake relevant training, including safeguarding, first aid and medication administration where required, is essential.

A flexible approach is important, as you may occasionally be required to support school events, meetings and activities or work at other Aurora locations where appropriate.
